Apprenticeships Offer Great Opportunities
Office Administrator, Ella Hollis provides insight into the apprenticeship scheme and why businesses should invest in the next generation of leaders.
Becoming an apprentice was the easiest decision. Being able to improve my skills by learning whilst also working inside an active business and learning new skills made the decision easier. Statistics provided by social studies showed a huge benefit towards apprentices these include:
• Around 91% of apprentices took on additional job responsibilities during their learning period, this is a change to gain more skills and improve the way you handle different situations in the future or present.
• 65% had received a job promotion, this personal development looks incredible when you decide to move on to another business.
• 90% of apprentices stated that their apprenticeship had contributed to their successful careers.
Choosing IT Document solutions
IT Document Solutions stands for everything good; their active participation in multiple charities was inspiring and no other job matched the values they stood for. During my application process I was researching similar companies, and none seemed to provide the same five-star service that ITDS had, this was shown by online reviews and testimonials on their social media. Whilst researching I noticed that interactions with their customers was huge on LinkedIn, it showed they really cared for them as well as providing the best advice or support too.
A day in the life of an apprentice at IT Document Solutions
I have been working at IT Document Solutions for 5 Months. I start my day at 9am by greeting everyone. After this I log into my laptop and start my daily tasks, these include:
• Managing communications via email and on the phone, both incoming business enquiries and more importantly customer queries.
• Overall responsibility for ensuring our customers get their equipment set up in an efficient and timely manner, ensuring dates are met and the customer expectations are exceeded.
• Checking customer paperwork, current order status’ and keeping my team up to date with any changes, this includes updating systems with customer details or device locations, ar-ranging collections of older equipment.
• Administration activities including managing incoming mail, checking our consumables, in-cluding tea / coffee, water, and biscuits to keep the team going!
• Office Management activities, supporting the Operations Manager to help manage the cleaning and water delivery schedules and ensure that our meter readings are updated on the supplier portals.
• Attending meetings, taking notes, and updating my managers with any notes, actions or in-formation needed.
• Collaborating with colleagues for ongoing projects for the business including a new onboarding process and a new SharePoint.
• Focusing on my apprenticeship work for one hour a day, so that I am prepared for my End Point Assessment.
• At the end of the day, I make sure all emails are dealt with and all post has been delivered and ensure I have an action plan for the next day.
Developing skills and growing knowledge
I had very little experience with an office role, my only background is retail. Everything was completely brand new to me and learning the ways of the business has been informative, working in a small team has been enjoyable, everyone is very supportive and always there if I ever get stuck! I had to learn the ropes very quickly, but this has improved my skills massively, when faced with challenges I have my team and experience here to support me. Dealing with customers has become a huge responsibility in my role, I have learnt how to build lasting relationships with clients and suppliers, we pride ourselves on service and I carry that value with me every day and always put the customers’ needs before anything.
Jermaine Weeden, CEO at IT Document Solutions said:
“We have been lucky to have employed a few apprentices throughout the life of the business, and it’s a great way to help young people grow and develop within the work place. They still get the support of the recruitment agency; however, it provides real life experience within a busy office environment. Like most modern workspaces we have a culture and a way of working that benefits all our employees, encouraging team work, and rewarding effort. We hope that as the company grows, we can offer similar experience to more young people within the local community.”

“I know this apprenticeship will provide me with an exceptional start to my working life. It has presented me with many opportunities to learn new skills and improve skills I already had such as practical skills or developing transferrable skills, such as using initiative during urgent situations on my own, working out what will be beneficial to customer and company. Working in a large team has improved my confidence and communication skills, I’m glad to have such a great team supporting my every step.”
Benefits of apprenticeships
Having an apprentice can be beneficial for many reasons, including:
• Having fresh talent and new ideas being brought to the table, this can promote productivity and encourage big new projects that can be valuable to the business.
• Improvement on the quality of service provided by the company, having an apprentice eager to learn means their performance will continue to improve throughout their career.
• Customized training that is tailored to the specific needs of a business this results in highly skilled employees.
